Effective June 09, 2021 — This Privacy Policy explains how Winbo International (“Winbo”, “we”, “us”) collects, uses, discloses, and protects information in connection with our B2B sales, website, warranty/RMA service, and related operations in Canada and the USA.

1) Scope & Roles

This policy applies to information we process about customers, resellers/integrators, site visitors, and business contacts. For manufacturer warranties we help facilitate, the manufacturer may act as an independent controller of warranty information.

2) Information We Collect

Account & Commercial Data

  • Business contact details (name, company, job title, email, phone), billing/shipping addresses.
  • Account credentials (hashed), order history, invoices, RMA numbers and case notes, product serial/SKU for warranty.

Device & Usage Data

  • Browser/device type, IP address, pages viewed, timestamps, and cookies or similar identifiers for session continuity, security, and analytics.

Support Materials

  • Photos, logs, or configuration details you voluntarily provide for troubleshooting or RMA. We do not access end-customer surveillance footage; if you share any, you must have lawful authority to do so.

3) How We Use Information

  • Process and deliver orders; provide account, billing, and customer support.
  • Warranty/RMA verification, repair/replacement logistics, and product safety/recall notifications.
  • Security, fraud prevention, debugging, and service improvement (including analytics and quality assurance).
  • Business communications: quotes, availability updates, training and product notices. You may opt out of marketing at any time.
  • Compliance with tax, bookkeeping, and legal obligations.

4) Legal Bases & Consent

Where required by law (e.g., Canada’s PIPEDA and applicable provincial laws), we rely on your consent or other lawful bases such as contract performance, legitimate interests in operating our B2B services, and legal compliance. You may withdraw consent for non-essential processing (e.g., marketing) at any time.

5) Cookies & Tracking

  • We use functional cookies for login, cart, and security, and limited analytics to understand site usage.
  • You can control cookies via your browser settings. If a “Cookie Settings” control is available on our site, you can adjust preferences there.
  • We do not respond to “Do Not Track” browser signals due to lack of industry standard.

6) Sharing & Disclosures

  • Service providers: payment processors, shipping carriers, IT/hosting, email/CRM, RMA logistics, manufacturers for warranty verification.

We do not sell personal information. We do not allow service providers to use your information for their own independent purposes beyond providing services to us.

7) International Transfers

We operate in Canada and the USA. Your information may be processed and stored in either country. Protections include contractual safeguards with service providers and access controls appropriate to the sensitivity of the data.

8) Retention

  • Accounts and order records: retained for the life of the account plus up to 7 years for tax and bookkeeping.
  • RMA/warranty records: typically up to 24 months after closure, unless longer is required by the manufacturer or law.
  • Site logs/analytics: typically 12–24 months in aggregate form.

9) Security

We use administrative, technical, and physical safeguards proportionate to risk (e.g., role-based access, encryption in transit, network controls). No method of transmission or storage is 100% secure, but we strive to protect your information against unauthorized access, use, or disclosure.

  • Withdraw consent for non-essential processing (e.g., marketing). Unsubscribe links are available in marketing emails.

Our services are directed to businesses and professionals. We do not knowingly collect information from children under the age of 16.
